System basics
In this article, we’ve gathered explanations of all the key terms you’ll come across in the Rental Booster system.
Vehicle
A unit that is rented out. It can be a car, motorcycle, bus, e-scooter, special equipment, or any other type of vehicle.
Fleet
A list of all vehicles managed by the company.
User
Any person working in the Rental Booster system. Each user can have a specific role with the appropriate access rights, such as:

Operator: processes requests, confirms bookings, communicates with customers

Driver / Delivery agent: physically delivers or picks up the vehicle

Administrator: manages the fleet, settings, and user permissions
Company
The organization that owns the fleet and uses Rental Booster to manage vehicles and rental processes.
Location
A place where a vehicle needs to be delivered or picked up. The booking cost may depend on the distance to this location and the delivery conditions.
SIPP code
An international four-letter code system describing a vehicle’s class, number of doors, transmission type, and whether it has air conditioning and what kind of drivetrain/fuel it uses.
Used to standardize vehicle descriptions and bookings.
For example, EDMR — economy, 4-door, manual transmission, air-conditioning, front-wheel drive, petrol.
Sensors
Devices installed on vehicles and connected to Rental Booster. They automatically send information about location, mileage, speed, fuel level, engine status, and other parameters.
Renter
A customer who has submitted a request or booking and is using the vehicle according to rental terms.
Incoming request
The initial inquiry from a customer about a rental. The request appears in Incoming, where the operator reviews it. Once confirmed, it becomes a booking.
Booking
A record of a specific vehicle rental created by an operator or automatically by the system.
A booking can be generated based on a customer request or created manually (by phone, messenger, or other channels).
A booking includes:

— rental start and end dates
— customer information
— rental cost
— payment status
Rental
The process of handing a vehicle over to a customer for the agreed period under the terms specified in the booking. It starts with signing documents and the actual vehicle handover.
Extras
Additional services that can be added to a rental — for example, a child seat, insurance, or an additional driver. These extras can be set up in the system and included in a booking.
Prepayment
A portion of the rental cost that the customer pays when making a booking. It confirms the customer’s intention and reserves the vehicle for the specified dates.
Payment
The customer’s payment for the rental. It can be made online or at handover. Supported payment methods include card, cash, and bank transfer.
The first payment is typically made during booking, and others upon handover or extension.
Vehicle delivery
Vehicle handover to the customer outside of the office. Usually carried out by a delivery agent. Reverse pick-up after rental completion is also possible.
Task
A specific action an employee must perform — for example, prepare a vehicle, refuel, hand it over to a customer, perform an inspection, and more. Tasks can be created automatically when a booking is made or assigned manually.
Pick-up
The process of giving a vehicle to the customer, including taking photos, signing documents, recording actual readings (fuel, mileage, and other parameters), confirming payment, and setting rental dates.
Booking extension
If a customer wants to extend their rental period, the operator creates a new booking linked to the current one for the additional time.
Drop-off
The process of receiving the vehicle back from the customer. During the return, any damages, mileage, payments, and vehicle completeness are checked.
Booking cancellation
A renter may cancel their booking. The refund of any prepayment depends on your rental terms and whether free cancellation is allowed.
Violations
Breaches of rental terms by the customer — for example, exceeding mileage, late returns, or vehicle damage. The cost of such violations may be deducted from the deposit
Deposit
A security amount withheld when the customer receives the vehicle. Used to cover possible damages, fines, or unpaid amounts. Returned after the rental if there are no violations.
Discount
A reduction in rental cost. Discounts can be set manually by an operator, configured for promotions, or applied automatically for long-term rentals.
Notifications
Automatic messages from the system — reminders to employees about vehicle handovers or returns, booking cancellations, or new requests.
Pricing
The method the system uses to calculate rental cost. It depends on season, vehicle segment, and rental duration.
Season
A time period with its own pricing rules. For example, prices may be higher in summer and lower in the off-season. A season can be defined for any date range, not necessarily matching calendar months.
Segment
A classification of vehicles based on shared characteristics such as comfort level, purpose, or price category.
Booking duration
The full period for which the customer rents the vehicle — from the booking start date to the actual return. The longer the rental period, the lower the daily rate typically becomes.
Moderation
The process of reviewing the vehicle’s description, photos, and specifications before it’s published on your website. Once approved, the vehicle becomes available for booking.
Listing
Placement of a vehicle on customer-facing platforms such as your rental website or an aggregator. If the listing is active, the vehicle appears as available; if inactive, it’s hidden from customer view.
